Business Office Coordinator – Part Time
Ambleside’s Business Office Coordinator must have a servant’s heart and lead a front office atmosphere that is For The Children’s Sake (Mark 9:35-37), welcoming and serving each person with love and a smile whether it’s with a student, parent, teacher, or visitor. The Business Office Coordinator’s administrative responsibilities include: bookkeeping support, background checks, leading office communication, event coordination, database management, inventory/purchasing, and facility support.
Direct Report: Business Manager
Hourly: ~30 hours per week (7:45 a.m. – 1:45 p.m., Monday – Friday)
Pay Rate: $17 – $20/hr
Specific responsibilities include:
- Be the first impression at the front desk, electronically, and over the phone! Smile! Know every parent and student by name and welcome every guest
- Front desk
- Answer front door
- Answer phone, return calls, and make parent calls, as needed
- Answer office emails and reply or distribute accordingly
- Attend to student and teacher needs, including helping students when ill or caring for their playground wounds
- Receive mail and packages, distribute accordingly
- Working with parents, teachers, and visitors to handle inquiries about school activities and policies
- Any additional front desk/office duties, as needed
- Bookkeeping support – previous experience preferred in Quickbooks
- Manage expenditures and deposits
- Account reconciliation
- Update budget vs. actual reports
- Manage background checks for staff and parents
- Routinely handle highly confidential and time-sensitive information
- Inventory and purchasing of non-academic supplies
- Event coordination for school events – specific responsibilities include: managing registration, collecting payments, travel booking/coordination, ordering supplies, coordinating setup/cleanup, helping at event
- Manage office machines/services (printers, copier, shredding service, computers)
- Facilitate office communications including drafting and sending school-wide emails/announcements and work with Communications Director to maintain accurate contact information
- Work with Principal, Business Manager, Assistant Principals, and other support staff to complete short and long term projects, as needed
- Facility support
- Work with Assistant Principal and landlord to facilitate Ambleside’s needs and access at current facility
- Schedule and manage Safety Drills
- Manage and keep office supplies and kitchen stocked and clean
- Support expanded facility needs as they arise
- Prepare morning coffee and as needed for events
- Occasionally fill in for morning drop-off, carpool duty, lunch monitoring, and recess duty
Job Requirements:
- Confess a personal relationship with Jesus Christ
- Value creating and developing interpersonal relationships
- Be an active member in good standing with a local church whose fundamental beliefs are in agreement to Ambleside’s Statement of Faith and mission statements
- Agree without reservation to Ambleside’s Statement of Faith and mission statements
- Take initiative and look for opportunities to strengthen and improve Ambleside’s mission to give children and families a living education, centered on Christ
- Comfortable using technology and helping others with technology needs
- Able to write clear, grammatically correct, and on-message office communication
- Have 5+ years of administrative expertise, including basic bookkeeping experience preferably in Quickbooks
